**Job Title:** Accounts and Office Manager
**Role Summary:**
Manage day‑to‑day bookkeeping, financial reporting, and office operations for a small‑to‑medium enterprise. Serve as the primary liaison for the Managing Director, handling finance, HR administration, compliance, and general office coordination to ensure smooth business functioning.
**Expectations:**
- Operate independently with minimal supervision.
- Maintain accurate financial records and meet statutory deadlines.
- Provide reliable HR and administrative support.
- Uphold data protection and compliance standards.
- Prioritize tasks across finance, office management, and staff services.
**Key Responsibilities:**
*Accounts & Finance*
- Perform daily bookkeeping in Zoho Books (or equivalent).
- Manage purchase ledger: invoice processing, coding, payments, reconciliations.
- Oversee sales ledger: invoice issuance, debtor management.
- Assist payroll processing, expense claims, and post payroll journals.
- Prepare bank reconciliations and monitor cash flow.
- Support month‑end close, produce management reports, liaise with external accountants for year‑end accounts.
- Submit VAT returns and manage office budgets.
*Office Management & Administration*
- Maintain digital and paper filing systems in line with data‑protection policies.
- Develop and update office policies, procedures, and systems.
- Manage inboxes, support tickets, phone calls, and general correspondence.
- Oversee reception area and visitor handling.
- Arrange travel/accommodation for field staff.
*Staff & HR Support*
- Aid recruitment, onboarding, and training processes.
- Keep employee records, contracts, and HR documentation current.
- Track holidays, sickness, and maintain payroll confidentiality.
*Potential Future Duties*
- Coordinate health & safety and fire safety audits.
- Ensure premises compliance.
**Required Skills:**
- 3–5 years solid SME accounting experience (senior bookkeeper/accounts supervisor).
- Proven competence in accounts payable/receivable and general bookkeeping.
- Proficiency with accounting software (Zoho Books, Xero, Sage, QuickBooks) and advanced Excel/Google Sheets.
- Strong organisational, analytical, and problem‑solving abilities.
- Ability to manage budgets and multitask across priorities.
- Excellent written and verbal communication; interpersonal skills.
- High level of discretion with payroll and HR data.
- Friendly, approachable team player comfortable wearing multiple hats.
**Required Education & Certifications:**
- Relevant tertiary qualification in Accounting, Finance, Business Administration, or equivalent experience.
- No professional accounting charter required; practical experience supersedes formal certification.
