Job Specifications
We are looking for a Business Support Administrator for a 12 month fixed term contract to provide essential administrative and personal assistant (PA) support to senior management and enabling teams. This role requires a detail-oriented professional who can manage a variety of business support functions, ensuring smooth day-to-day operations.
What does the role involve?
Act as first point of contact for Senior Leadership, as assigned to;
Support the management and coordination of schedules, diaries, booking meetings and appointments as required and making the necessary support arrangements such as room bookings
Arrange and book travel and accommodation
Assist with the coordination of company projects and initiatives
Arrange meetings, prepare agendas, and take minutes when required
Assist in financial administration such as processing invoices and expense claims
Support the effective communication amongst the group and throughout the business
Support EA with operational activities such as corporate governance, company risk registers and external audits so that records, databases, and business documents and updated and maintained
Provide general administrative support including document preparation and data entry
Support the Operations and Facilities Advisor with arranging catering, procuring office supplies, and other ad hoc requests
Handle correspondence, emails, post and phone calls, ensuring timely responses
Assist with the coordination of company projects and initiatives as well as social and charity events where additional support is required
Support HR and Talent functions with holiday cover and support in busy peaks with scheduling interviews and arranging onboarding of new employees
Always take personal responsibility for the health and safety of self and others by working within the Health and Safety policy and procedures
Endeavour to improve our social and environmental impact
Any other duties as reasonably required
Requirements
Highly organised, attention to details and able to prioritise tasks
Handle confidential information with discretion and professionalism
Confident and concise communication style both oral and written
Ability to maintain a positive and ‘can do' attitude whilst working under pressure
Understanding of general business operations and ideally some similar experience in EA/PA role
Fully proficient and confident using a wide range of Microsoft Office packages
Self-motivated and able to build relationships quickly
