Job Description
**Job Title** Receptionist (h/f/x) – Part‑time **Role Summary** First point of contact for visitors and support for facility operations at a charitable foundation. Works in partnership with a colleague covering the morning shift to manage visitor reception, meeting‑room logistics, call and email handling, and support services. **Expectations** - Deliver a warm, courteous, and professional welcome to all visitors. - Maintain smooth operations of 9 meeting‑rooms and ensure all security and safety procedures are observed. - Provide timely communication via telephone, email, and internal systems. **Key Responsibilities** - Greet and direct up to ~200 visitors weekly. - Receive and respond to inbound calls and e‑mails, forwarding to relevant staff. - Schedule, confirm, and manage reservations for nine meeting‑rooms of varying capacities. - Order daily supplies from caterers and arrange taxi and courier services. - Handle the issuance and return of informational displays and banners. - Perform miscellaneous administrative tasks as required. - Enforce safety and security protocols for employees and visitors. **Required Skills** - Fluent in Dutch and French; working knowledge of English. - Excellent interpersonal and communication skills. - Proactive problem‑solving attitude with the ability to multitask under pressure. - Strong organizational sense, responsibility, and attention to detail. - Ability to work independently while collaborating closely with logistics team members. - Proficient in Outlook, Microsoft Teams; basic knowledge of Salesforce is an advantage. **Required Education & Certifications** - Completed upper secondary education or Bachelor’s degree. - Prior experience in a receptionist or office support role preferred.
