Job Description
**Job Title:** PDHIS Contracts Analyst **Role Summary:** Manage and maintain software, hardware, and licensing contracts for the Provincial Digital Health and Information Services (PDHIS) region, ensuring timely renewals, compliance, and accurate financial tracking. Serve as a liaison between vendors, internal managers, and technical project teams to support capital equipment procurement and maintenance agreements. **Expectations:** - Ensure all contracts adhere to PDHIS policies, legal requirements, and reporting standards. - Provide accurate, on‑time renewal and modification notices. - Deliver high‑quality customer service and support to internal stakeholders. - Identify and resolve invoicing or contract discrepancies promptly. **Key Responsibilities:** - Track and maintain contract databases/spreadsheets; monitor renewal dates and end‑of‑term options. - Process quotes, purchase/lease paperwork, and verify accuracy against prior quotes. - Perform basic financial analysis (cost changes, exchange rates, tax calculations, cost allocation). - Gather vendor information, compare options, and prepare recommendation summaries for managers. - Assist with order issue troubleshooting, escalation, and education of staff on proper processes. - Reconcile invoices with purchase orders; ensure licensing compliance and resolve billing issues. - Generate regular and ad‑hoc reports using Excel and systems such as Asset Manager, SM9, ServiceNow. - Maintain capital purchase, asset, and contract management database; coordinate updates with Asset Management team. - Perform other related duties as assigned. **Required Skills:** - Strong analytical and quantitative abilities; proficient in financial calculations. - Excellent organization and database management (Excel, asset management tools). - Effective written and verbal communication; stakeholder liaison experience. - Detail‑oriented with ability to identify discrepancies and implement corrective actions. - Customer‑service orientation and problem‑solving mindset. - Knowledge of Indigenous cultural safety and humility principles (preferred). **Required Education & Certifications:** - Minimum Grade 12 education. - Four years recent related experience **or** equivalent combination of education, training, and experience. - No specific certifications required; proficiency with Microsoft Excel and contract/asset management software expected.
