Job Description
Job Title: Executive Assistant (Max $33/hr W2) Role Summary: Provide high‑level administrative support to three senior executives, managing complex calendars, domestic and international travel, expense reports, and confidential communications with professionalism and discretion. Expectations: Maintain strict confidentiality, exercise initiative and independence, adapt quickly to changing priorities, communicate effectively both verbally and in writing, and demonstrate flexibility in hours and duties. Key Responsibilities: • Coordinate and book domestic and international travel, including itineraries, visas, and lodging. • Manage executives’ calendars, schedule meetings, and optimize time utilization. • Process and reconcile expense reports, ensuring accuracy and compliance with policy. • Perform general office duties such as correspondence, filing, and document preparation. • Maintain confidentiality of sensitive information and adhere to company privacy standards. • Utilize Concur (or similar) for travel and expense management; acquire proficiency as needed. • Serve as a liaison between executives, internal teams, and external partners. Required Skills: • Proven experience supporting senior executives in an administrative role. • Mastery of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). • Strong organizational and multitasking abilities. • Excellent written and verbal communication skills. • Discretion and integrity with confidential matters. • Initiative, flexibility, and the ability to learn quickly. • Familiarity with Concur and travel booking platforms is preferred. Required Education & Certifications: • High school diploma or equivalent; bachelor’s degree preferred. • No specific certifications required.
