Job Description
**Job title** Executive Assistant **Role Summary** Support two executive vice presidents (Licensing & Marketing & Communications) by managing calendars, travel, correspondence, meeting logistics, and administrative tasks. Facilitate licensing, marketing, and event coordination activities, providing organized, proactive assistance to enable executive focus on strategy and stakeholder engagement. **Expectations** - Deliver high‑level, accurate administrative support in a fast‑moving, multi‑discipline environment. - Demonstrate reliability, discretion, and a proactive mindset in anticipating executive needs. - Maintain professionalism in all interactions, both internal and external. - Uphold organizational standards for documentation, expense processing, and vendor management. **Key Responsibilities** - Manage calendars, schedule meetings, conference calls, and travel itineraries for both EVPs. - Draft, edit, and send internal and external correspondence. - Prepare materials (backgrounders, presentations, binders) and provide technical support for Licensing and Marketing meetings. - Coordinate agendas, event invites, and follow‑up communications. - Compile data, reports, and presentations using Microsoft Office; incorporate charts, graphs, and summarize findings. - Track vendor and sponsor contracts, payments, and maintain accurate records. - Respond to phone calls and emails independently; direct complex inquiries appropriately. - Manage expense reports, invoices, office supplies, and general office record keeping. - Assist with marketing of major events (award shows, conferences, EXPOs) and participation in industry conferences. **Required Skills** - Advanced proficiency in Microsoft Word, Excel, PowerPoint; Mac OS competence. - Exceptional written and verbal communication. - Strong organizational and multi‑tasking abilities with meticulous attention to detail. - Ability to synthesize information from multiple sources and draw concise conclusions. - Professional telephone manner and proactive anticipation of executive needs. - Knowledge of music industry trends is desirable. **Required Education & Certifications** - Bachelor’s degree (any field). - Minimum 2+ years of senior administrative support experience, preferably with marketing or public relations leadership. ---
