Job Title: Executive Assistant Role Summary: Provide comprehensive administrative and operational support to the Executive Committee, acting as the primary liaison and managing day‑to‑day office functions. Ensure efficient scheduling, travel coordination, and a well‑maintained workplace that supports leadership and staff performance in a fast‑paced corporate environment. Expectations: - Extremely organized, proactive, and solution‑oriented, consistently managing multiple priorities under tight deadlines. - Maintains confidentiality, professionalism, and discretion with sensitive information. - Demonstrates strong interpersonal and customer‑service skills, engaging effectively with internal and external stakeholders. Key Responsibilities: - Manage Executive Committee calendars, prioritize appointments, and coordinate meetings. - Arrange full travel itineraries for executives, including flights, accommodation, ground transport, and related logistics. - Serve as first point of contact for the Executive Committee, liaising with stakeholders and delivering timely information. - Coordinate front‑desk operations with the Office Assistant, ensuring smooth reception, meeting room setup, and concierge services. - Build and maintain vendor relationships, negotiate contracts, and oversee procurement of office supplies and services. - Monitor inventory levels and coordinate supply replenishment. - Oversee maintenance and repair schedules, liaising with suppliers and building management. - Manage office access control, badge issuance, and security protocols for headquarters. Required Skills: - Exceptional organizational and time‑management abilities. - Proficient in calendar and travel management tools (Outlook, Concur or similar). - Strong written and verbal communication skills. - High level of professionalism, confidentiality, and integrity. - Ability to collaborate with cross‑functional teams and external vendors. - Proactive problem‑solving and decision‑making under pressure. Required Education & Certifications: - Bachelor’s degree in Business Administration, Office Management, or related field, or equivalent professional experience. - No mandatory certifications required, but knowledge of office management best practices and travel coordination software is an advantage.
