Job Title: Business Services Support (Administrator)
Role Summary: Provide cross-departmental administrative support, ensure compliance and governance, manage records and communications, coordinate projects, assist with HR functions, track training compliance, and maintain data security. Focus on efficient operations in a charitable/non-profit environment.
Expactations:
Support multi-department operations, uphold compliance with governance standards, maintain accurate record-keeping, manage internal/external communications, coordinate meetings and projects, assist with HR recruitment, track training compliance, and ensure data confidentiality per GDPR.
Key Responsibilities:
- Execute administrative tasks (document preparation, scheduling, filing).
- Conduct compliance checks, audit prep, and document accuracy reviews.
- Maintain/updating databases and service records for accessibility and accuracy.
- Monitor/respond to email/phone correspondence, escalating issues when needed.
- Coordinate project timelines, prepare materials, and track progress.
- Compile management reports in Excel, extract data from systems, and distribute.
- Assist HR with recruitment (job ads, interviews, onboarding) and staff policy compliance.
- Track training needs, send reminders, and manage scheduling/certificates.
- Handle sensitive information per GDPR and organizational data policies.
Required Skills:
Proficiency in Microsoft Office (Word, Excel, Outlook), database management, compliance governance, project coordination, administrative processes, HR support, data analysis/reporting. Strong communication, organizational multitasking, and attention to detail.
Required Education & Certifications:
High school diploma or equivalent; bachelor’s degree preferred. Certifications in data protection (GDPR) or HR compliance advantageous.
