Job title:
Senior Administrative Assistant (12‑month contract)
Role Summary:
Provide senior‑level administrative support to the Regional Vice President, managing schedules, communications, travel, and project documentation. Facilitate regional operations, client events, and technology adoption, while delivering sales, marketing, and CRM reporting.
Expectations:
- Handle confidential information with discretion.
- Coordinate all aspects of the RVP’s calendar and correspondence.
- Prepare and maintain status reports, meeting agendas, minutes, and project documentation.
- Support business development, marketing activities, and client events.
- Manage Salesforce data, generate activity reports, and maintain accurate records.
- Assist with budget, expense reporting, and regional office logistics.
Key Responsibilities:
- Maintain and proactively manage the RVP’s schedule, including virtual and in‑person meetings.
- Manage the RVP’s email inbox, delegate tasks, and complete actions on behalf of the RVP.
- Prepare meeting materials, agendas, action items, and minutes.
- Coordinate travel arrangements and expense reports.
- Provide administrative support to regional leadership, compliance, marketing, and advisors.
- Assist with client event planning and execution (virtual and in‑person).
- Facilitate Private Wealth Planning Experience (PWPE) case intake, documentation, and follow‑up.
- Develop and maintain strong working knowledge of Salesforce; run advisor and regional activity reports.
- Support the Region Operations team with workspace setup, equipment, and facility management.
- Backup reception duties and assist with special projects, meetings, and conferences.
- Manage regional budgets, finances, and ensure compliance with corporate policies.
Required Skills:
- Excellent verbal and written communication.
- Strong relationship management and customer‑service orientation.
- Ability to work independently and collaboratively.
- Discretion with confidential information.
- Advanced proficiency in Microsoft Office (Word, Outlook, PowerPoint, Teams) with infographic creation skills; intermediate Excel.
- Digital savviness; adept at using document management and collaboration tools.
- Familiarity with Salesforce reporting.
- Adaptability to fast‑paced, changing environments.
Required Education & Certifications:
- Business Administration Diploma or relevant postsecondary degree, or equivalent experience.
- Minimum 5+ years of administrative experience, preferably in sales or financial services.
