**Job Title:** Director Assistant
**Role Summary:** Provides administrative, HR, financial, and operational support to the director and organization, managing payroll, document workflows, vendor contracts, and logistics.
**Expectations:** Efficiently coordinate HR and administrative tasks, maintain accurate financial records, ensure compliance with administrative processes, and proactively support operational needs.
**Key Responsibilities:**
- Maintain employee records, process payroll variables, and administer leave/absence reporting.
- Draft employment contracts, manage internal/external communications, and organize meeting documentation.
- Oversee travel arrangements, expense claims, and vendor contractual agreements.
- Manage cash flow, invoice payments, monthly invoicing, and annual budget preparation.
- Administer IT equipment, coordinate with IT providers, and update technical infrastructure.
- Support operational planning (scheduling, logistics), property management (housing, offices, vehicles), and vendor procurement.
**Required Skills:**
- HR administration (payroll, compliance, employee relations).
- Financial management (bookkeeping, invoice processing, budgeting).
- Document management (report drafting, filing, archiving).
- IT system coordination (equipment management, software operations).
- Strong organizational skills with attention to detail and multitasking.
- Proficiency in written/verbal communication and multilingual correspondence (if required).
- Ability to interface with HR, finance, IT, and external stakeholders.
**Required Education & Certifications:**
- Bachelor’s degree in administration, business, or HR.
- Preferred certifications: HR management, payroll processing, or accounting.
- Proficiency in HR/financial software and document management tools.
