Job Description
**Job Title:** Administrative Assistant – Construction (BTP) F/H **Role Summary:** Provide comprehensive administrative support for a defense‑building construction site, reporting to the Director of Works. Manage project documentation, subcontractor contracts, and daily office operations to ensure smooth site administration and compliance with group standards. **Expectations:** - Minimum 3 years of experience in a similar administrative role within the construction (BTP) sector. - Bac+2 (associate degree) in Administration, Office Management, or related field. - Proficient with Microsoft Office, Teams, and document‑management software. - Strong written communication, organizational rigor, and ability to work autonomously. **Key Responsibilities:** - Administer project dossiers: manage contracts, service orders, amendments, capacity certificates, and related documents. - Upload and distribute documents through the document‑management system; circulate PPSPS and meeting minutes. - Track client satisfaction surveys, client situation reports, and bank guarantees. - Maintain the project administrative dashboard and control site access. - Prepare and process subcontractor, service, and supply contracts: compile files, issue orders, obtain approvals, and manage bank guarantees. - Draft, circulate, and obtain signatures for contracts, amendments, and final accounts. - Update subcontractor performance dashboards per project. - Handle routine office tasks: mail, front‑desk reception, telephone, electronic archiving, and correspondence. - Coordinate production workforce administration (training records) with HR. - Ensure deployment of group‑wide standards and procedures. **Required Skills:** - Advanced proficiency in MS Office (Word, Excel, PowerPoint) and Teams. - Experience with electronic document‑management systems. - Solid understanding of construction contract administration and subcontractor management. - Excellent drafting skills for emails, letters, reports, and meeting minutes. - Strong interpersonal abilities for internal and external stakeholder communication. - High level of accuracy, organizational skills, and ability to work independently. **Required Education & Certifications:** - Bac+2 (or equivalent) in Administrative Assistance, Office Management, or related discipline. - No specific certifications required; relevant professional training in construction administration is a plus.
