**Job Title:** Office Manager **Role Summary:** Lead the daily administrative and operational functions of a mid‑size organization, ensuring seamless support to finance, HR, procurement, and legal departments while coordinating internal communications and event logistics. **Expactations:** - Maintain high standards of confidentiality and compliance with governmental regulations. - Proactively identify and resolve operational bottlenecks. - Foster effective inter‑departmental collaboration and professional development. **Key Responsibilities:** *Human Resources* - Administer employee contracts, amendments, and personnel dossiers. - Handle onboarding (DPAE, attestations) and off‑boarding procedures. - Manage leave, absences, health visits, and social benefit interfaces. - Liaise with payroll firms and health insurers; update legal registers and SIRH. - Ensure statutory obligations (training, DUERP) and produce HR reports. - Organise internal events and team‑cohesion initiatives. *Accounting & Finance* - Prepare accounting files for external audit; reconcile bank statements. - Process expense claims, client and supplier invoices; update CRM. - Generate client invoices and manage collections, collaborating with sales and finance. *General Services & Procurement* - Welcome visitors and manage reception duties. - Oversee office maintenance, security, supplies, and equipment. - Coordinate external service providers (cleaning, security, maintenance). - Plan business travel and logistics for internal events and meetings. *Legal & Compliance* - Administer lease and contract documentation; monitor insurance coverage. - Archive client, supplier, and subcontractor agreements. - Track statutory and regulatory obligations. *Support to Management* - Schedule and prepare for executive committees. - Draft internal communications, minutes, and management reports. - Compile dashboards, key indicators, and performance reports. **Required Skills:** - Strong organisational and methodical approach. - Excellent verbal and written communication; document formatting. - Autonomy, initiative, and swift responsiveness. - Discretion and respect for confidential information. - Interpersonal proficiency and event‑planning experience. **Required Education & Certifications:** - Minimum bachelor’s degree in Business Administration, Management, or equivalent. - Proven 5+ years as an office manager or agency assistant. - Government clearance and subject to administrative background check (enabling eligibility for sensitive roles).
