Job Description
**Job Title** Protocol and Event Project Officer **Role Summary** Design, plan, and execute official events and public relations activities. Manage all administrative and financial aspects of the events service, ensuring logistical excellence, budget compliance, and seamless coordination among stakeholders, including vendors, participants, and foreign dignitaries. **Expectations** - Deliver high‑quality events that meet organisational objectives and protocol standards. - Maintain strict budgetary control and financial reporting. - Coordinate translation, interpretation, and protocol services when required. - Serve as a reliable liaison for foreign guests and dignitaries. **Key Responsibilities** - Develop event concepts and project plans in line with institutional goals. - Oversee all logistical arrangements: venues, catering, AV, transport, security, and décor. - Draft, negotiate, and issue purchase orders, contracts, and service agreements. - Monitor expenditures, process invoices, and ensure alignment with approved budget lines. - Act as the central point of contact for all stakeholders—internal teams, external vendors, suppliers, sponsors, and guests. - Coordinate translation and interpretation services, ensuring accurate and timely delivery. - Prepare and distribute briefing materials and official protocols for events involving foreign dignitaries. - Conduct post‑event evaluations, compiling feedback and reporting outcomes to senior management. **Required Skills** - Strong event planning and project management capabilities. - Excellent budget tracking and financial reporting skills. - Effective vendor negotiation and contract management. - Outstanding organisational and multitasking abilities. - Clear written and verbal communication; proficient in French and English (additional languages a plus). - Familiarity with international protocol and diplomatic etiquette. - Proficient in Microsoft Office (Excel, Word, PowerPoint) and event‑management software. **Required Education & Certifications** - Bachelor’s degree in Communications, Event Management, Public Relations, International Relations, or a related field. - Project Management Professional (PMP) or Certified Meeting Professional (CMP) certification is strongly preferred. ---
