Job Title Administrative Specialist Role Summary Provides high‑level secretarial and administrative support, ensuring accurate document handling, efficient communication, and smooth day‑to‑day operations. Works closely with the Business System Administrator and manages a small team, maintaining confidentiality and compliance with organizational protocols. Expectations - Deliver professional, error‑free correspondence and documents. - Respond to complex inquiries and multitask across departments. - Uphold the integrity and accessibility of business records. - Coordinate travel, meetings, and facility resources with precision. Key Responsibilities 1. Draft, proofread, and manage formal letters, inter‑office communications, and miscellaneous documents. 2. Answer telephone calls, provide advanced information support, and handle inquiries independently. 3. Create, maintain, and audit departmental records, files, and database entries. 4. Plan and book employee travel schedules and associated accommodations. 5. Supervise, mentor, and train administrative staff. 6. Monitor and verify accuracy, completeness, and timeliness of business system transactions. 7. Coordinate internal and external meetings, including room reservations and AV setup. Required Skills - Advanced written and verbal communication. - Strong computer proficiency (MS Office suite, email, scheduling, database management). - Excellent organizational and multitasking abilities. - Ability to manage confidential information with discretion. - Leadership and training capability for a small team. Required Education & Certifications - Bachelor’s degree in Business Administration, Office Management, or related field preferred. - Professional certification in Office Administration, Executive Assistant, or related credentials (e.g., AHIP, NCOA) welcome.
