Job Description
**Job title**: Meeting Planner **Role Summary** Coordinate and execute client meetings and events in a hotel setting. Work closely with the manager to maximize revenue through space optimization, client qualification, contract creation, and on‑site management. Serve as the primary client liaison from inquiry to post‑event follow‑up while ensuring all internal departments meet contractual deliverables. **Expectations** - Deliver seamless events that meet client expectations and hotel revenue targets. - Optimize venue usage and manage room allocation to increase profitability. - Maintain accurate contracts and invoicing with no discrepancies. - Build long‑term client relationships and identify upsell opportunities. **Key Responsibilities** - Receive and qualify client inquiries (phone and email) using product knowledge and needs assessment. - Draft tailored proposals and commercial contracts in alignment with hotel go‑to‑market strategy. - Convert inquiries into confirmed bookings, prepare pro‑forma invoices, manage deposits, and track until client arrival. - Act as the exclusive M&E point of contact onsite: greet clients, verify room set‑up, monitor in‑service requests, gather feedback, and resolve issues. - Finalize functional sheets and brief all hotel departments (housekeeping, banquets, restaurants, etc.) for event execution. - Post‑event: audit invoicing, ensure financial reconciliation, and capture lessons learned. - Conduct site inspections for prospective clients and support MICE sales strategy. - Proactively upsell ancillary services (cocktails, tech equipment, meals, etc.) and nurture client loyalty through follow‑up. **Required Skills** - Fluent in French and English (written and oral); Dutch a plus. - Proficient with MS Office and OPERA property management system. - Strong client‑service orientation, negotiation, and persuasive selling skills. - Ability to analyze space requirements, budgeting, and revenue optimization. - Excellent communication, internal coordination, and problem‑solving abilities. - Detail‑focused, organized, and capable of managing multiple events simultaneously. **Required Education & Certifications** - Bachelor’s degree in Hospitality Management, Business Administration, Event Management, or equivalent professional experience. - Hospitality or event‑planning certification is desirable but not mandatory.
