Job Description
Job Title: Administrative Assistant Role Summary: Provide comprehensive administrative support while delivering basic accounting assistance. Serve as the first point of contact for visitors, manage executive calendars, handle financial records, coordinate office operations, and support HR tasks. Expactations: - Maintain high professional standards in communication and guest interaction. - Deliver accurate and timely administrative and financial support. - Ensure confidentiality and data integrity across all systems. - Demonstrate initiative, problem‑solving, and a proactive work ethic. Key Responsibilities: - Manage calendars, schedule meetings, and coordinate complex appointments. - Handle incoming calls, emails, and professional correspondence. - Greet visitors and control guest access. - Assist with invoices, reimbursements, expense reports, and basic bookkeeping. - Support accounts payable/receivable and assist with monthly close activities. - Oversee office supplies, facilities requests, travel arrangements, and team events. - Maintain digital and physical filing systems. - Support onboarding paperwork, timesheets, and other HR functions as needed. - Ensure accuracy of data in all systems and protect confidential information. Required Skills: - Proficient in Microsoft 365 (Outlook, Word, Excel, PowerPoint). - Strong organizational and multitasking abilities. - Excellent written and verbal communication with professional phone etiquette. - Customer‑service mindset and professionalism. - Basic bookkeeping knowledge (invoicing, expenses, reconciliations). - Integrity in handling confidential information. - Problem‑solving and initiative; attention to detail. - Team player capable of independent work; familiarity with calendar and travel booking tools. Required Education & Certifications: - Minimum 1 year of combined administration and basic accounting/finance experience. - No specific degree required; relevant certifications in office administration or bookkeeping are a plus.
