Job Description
Job title: Senior Event Planner Role Summary: Lead planning and execution of complex events, coordinating cross‑functional teams and managing all logistical, financial, and vendor aspects to ensure delivery of high‑quality experiences. Expectations: • 8+ years in event or meeting planning; • Bachelor’s degree (or equivalent experience) in business, marketing, hospitality or related field; • Proven proficiency with Cvent, Microsoft Office, CRM systems, and rapid technology adoption; • Cvent certification preferred; • Strong budget management and vendor negotiation skills; • Experience with executive/VIP events and sourcing preferred; • Ability to work independently with minimal direction; • Willingness to travel up to 20%. Key Responsibilities: • Develop event scope, schedule, and format in partnership with stakeholders, including marketing, vendors, and internal teams. • Oversee all operational and logistical activities: venue selection, lodging, catering, AV, entertainment, transportation, registration, and on‑site production. • Create and monitor budgets, forecast expenditure, and report financial performance to sponsors and executive leadership. • Design and maintain event websites and attendee management systems to deliver a superior user experience. • Negotiate contracts with suppliers, ensuring value, quality, and adherence to budget constraints. • Coordinate pre‑event planning, day‑of execution, and post‑event reporting, ensuring objectives are met and lessons learned documented. • Partner with marketing to develop communication plans, invitations, collateral, and digital assets. • Build and sustain relationships with exhibitors, vendors, and internal stakeholders to enhance event value. Required Skills: • Program and event management, including scheduling, resource allocation, and risk mitigation. • Budget creation, forecasting, and financial analysis. • Vendor selection and contract negotiation. • Excellent written and verbal communication. • Advanced proficiency in Microsoft Office suite, Cvent (registration, mobile app, attendee hub), CRM systems, and Concur. • Quick learning of new technology platforms. • Strong organizational and time‑management skills. Required Education & Certifications: • Bachelor’s degree in business administration, marketing, communication, hospitality, public relations, or equivalent. • Cvent certification (preferred). • Relevant industry certifications (e.g., CMP, CPC) and sourcing credentials are advantageous.
