Job Description
**Job Title:** Procurement Specialist **Role Summary:** Manage end‑to‑end procurement of non‑merchandise goods and services for an event‑based organization. Oversee supplier sourcing, contract negotiation, purchase order processing, inventory control, and compliance, ensuring timely and cost‑effective delivery to support multiple departments. **Expectations:** - Deliver procurement activities on a fixed-term contract (Feb–Aug 2026) with a 1‑month on‑site presence during the festival. - Maintain high standards of accuracy, transparency, and ethical sourcing. - Work independently while collaborating within cross‑functional teams and effectively communicate with suppliers and internal stakeholders. **Key Responsibilities:** - Source, evaluate, and select suppliers based on quality, price, and delivery performance. - Conduct market research, negotiate contract terms, and secure favorable pricing and warranty conditions. - Manage purchase requests, order placements, shipment tracking, and receipt reconciliation. - Maintain accurate procurement records, vendor contracts, and financial documentation. - Monitor inventory levels, coordinate replenishment, and prevent shortages or stock excess. - Evaluate supplier performance, resolve quality issues, manage returns and refunds. - Ensure compliance with company policies, industry regulations, and customs requirements for overseas imports. - Analyze market trends and supplier data to identify cost‑saving opportunities. - Develop and document procurement processes, improving efficiency and clarity. - Act as the primary point of contact for vendors, fostering long‑term relationships. **Required Skills:** - 2–4 years of procurement or purchasing experience. - Strong analytical and numerical skills for price and trend evaluation. - Supplier relationship management and negotiation proficiency. - Inventory management and procurement process knowledge. - Familiarity with cloud‑based procurement tools (e.g., Google Workspace, Sheets). - Excellent organization, multi‑tasking, and deadline management. - Ability to work independently and in a culturally diverse team. - Valid driver’s licence and willingness to travel for site work. - Detail orientation, problem‑solving, and process‑design capability. **Required Education & Certifications:** - Bachelor’s degree in Business, Supply Chain, Procurement, or related field (preferred). - Professional certification in procurement (e.g., CIPS, CPSM, or equivalent) is a plus.
