Job Description
Job title: Client Experience Executive – Educational Sports Travel Role Summary: Support teachers and educational groups through all phases of their travel program – from initial booking to post‑trip follow‑up – ensuring a seamless, engaging experience. Manage pre‑departure logistics, customer inquiries, and communication, while collaborating with Operations and Sales to maintain high service standards. Expectations: Deliver high‑quality, timely service to educational clients, managing multiple tasks with precision. Build strong, lasting relationships, actively listen, and resolve issues before they impact the customer journey. Possess a passion for sport and a basic knowledge of school athletics. Key Responsibilities: - Respond to client inquiries via phone and email, providing prompt, accurate information. - Compile, distribute, and update pre‑departure materials (documents, itineraries, risk protocols, destination guides). - Communicate consistently with clients to keep them informed and prepared. - Identify and pre‑empt potential issues, implementing solutions to maintain seamless experiences. - Coordinate with Regional Operations, Adventure Leaders, and Sales for smooth transition from pre‑departure to travel execution. - Lead virtual pre‑departure presentations for teachers, covering cultural expectations, packing lists, and itinerary highlights. - Maintain accurate client records in CRM and support systems. Required Skills: - Excellent verbal and written communication; able to engage educators and administrators effectively. - Strong organizational ability, managing multiple concurrent tasks with high attention to detail. - Relationship‑building, active listening, empathy, and conflict‑resolution skills. - Team‑player mindset, collaborating across departments. - Public‑speaking experience for virtual presentations. - Basic knowledge of school sports athletics. - Proficiency with CRM systems, customer support tools, and virtual communication platforms. Required Education & Certifications: - Minimum 1‑2 years of customer service experience, preferably in travel or education. - No specific degree required; relevant certifications in customer service or hospitality are a plus.
