Job Description
**Job Title** Client Services Administrator – Fixed Term (12 months) **Role Summary** Provide frontline client support for a financial planning firm, handling inbound enquiries, maintaining client records, and ensuring compliance with FCA, GDPR and Treating Customers Fairly (TCF) principles. Coordinate communication between clients and financial planners, manage daily administrative tasks, and identify opportunities for new business. **Expectations** - Act as the first point of contact, delivering timely and professional service to all clients. - Maintain accurate documentation in the Intelligent Office system. - Adhere strictly to regulatory and internal compliance standards. - Work collaboratively with planners and team members to schedule reviews and support projects. - Demonstrate initiative in learning product knowledge and business processes. **Key Responsibilities** - Respond to client enquiries and resolve issues efficiently. - Enter, update, and audit client interactions in Intelligent Office. - Ensure GDPR compliance and data protection across all actions. - Support the planning team in organising annual reviews and client meetings. - Identify potential cross‑sell/upsell opportunities using product knowledge. - Record and monitor client activity, ensuring data integrity. - Keep abreast of business processes and service offerings to provide accurate advice. **Required Skills** - Strong written and verbal communication. - Excellent interpersonal and listening abilities. - Proficient in Microsoft Office and client management systems. - High organisational and time‑management skills; able to handle a busy caseload. - Attention to detail with an ability to work under pressure. - Basic numeracy and financial terminology proficiency. - Ability to learn quickly and seek professional development opportunities. **Required Education & Certifications** - Minimum 5 GCSEs (or equivalent) including Maths and English at grade A‑B (6). - Alternatively, demonstrable work experience at an equivalent level. - Desire or ongoing progress toward a Diploma in Regulated Financial Planning (CII) is advantageous. - Experience in a financial services, wealth management, or financial planning role is desirable. ---
