Job Description
Job title: Paid Internship in Event Coordination Role Summary: Internship supporting day‑to‑day event coordination for a Brussels‑based production company that delivers in‑person, hybrid and virtual events in the EU public affairs sector. Responsibilities include vendor negotiations, operational tasks in studio and meeting rooms, registration and contact list management while fostering collaboration and communication across a multicultural team. Expections: - Highly driven, self‑motivated, entrepreneurial mindset. - Ability to work independently and in a team. - Multicultural communication skills (English & French, additional EU languages a plus). - Strong prioritisation, multitasking and deadline discipline. - Detail‑oriented, organised and adaptable. - Positive, enthusiastic, friendly and eager to learn. - Tech‑oriented mindset; experience with hybrid event production and streaming software considered valuable. Key Responsibilities: - Assist overall coordination of event projects. - Collect vendor proposals and negotiate pricing with venues and subcontractors. - Liaise with selected venues/subcontractors to confirm logistics. - Support operational tasks in studio and coordination of meeting rooms. - Prepare event setups and materials. - Office management and general administrative duties. - Manage attendee registration and maintain contact database. Required Skills: - Bilingual fluency in English and French (written & oral). - Excellent written and verbal communication in a multicultural environment. - Strong organisational and detail‑management abilities. - Ability to prioritise multiple projects and meet deadlines. - Self‑starter capable of taking initiative. - Adaptability to flexible work arrangements. - Tech proficiency; familiarity with streaming software and hybrid event production is an asset. Required Education & Certifications: - University degree in Event Management, Business, Communication or similar field. - Valid Belgian work permit required for non‑EU applicants. - Additional EU language proficiency and experience with event production considered assets.
