Job Description
**Job Title:** Executive Assistant – Development **Role Summary:** Provide high‑level administrative support to the Chief Marketing, Development & Marketing Officer (CDMO) and VP Campaign. Manage calendars, correspondence, budget tracking, and meeting logistics while coordinating fundraising and development activities across the organization. **Expectations:** - Efficiently manage executive schedules and prioritize tasks. - Maintain confidentiality and professionalism in all interactions. - Support fundraising efforts by ensuring accurate record‑keeping and compliance with policies. - Deliver accurate and timely reports, presentations, and documentation. **Key Responsibilities:** - Schedule and coordinate CDMO/VP calendars, including internal and external meetings. - Draft, edit, and send correspondence; prepare responses for approval. - Maintain tracking systems for deadlines, expenses, and budget comparisons. - Prepare expense documents, purchase requisitions, and budget reports. - Organize travel arrangements and event logistics (e.g., donor receptions). - Maintain filing systems, update donor databases (Raiser’s Edge) and committee contact lists. - Produce agendas, minutes, and reports for meetings; create PowerPoint presentations. - Support Fundraising/Development Committee administration (e.g., welcome packets, minutes). - Coordinate onboarding and off‑boarding processes for staff and volunteers. - Conduct independent research for competitive, environmental, or fundraising analyses. - Update and ensure compliance of fundraising policies annually. **Required Skills:** - Advanced proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint). - Strong written and verbal communication; excellent telephone etiquette. - Advanced calendar and email management. - Experience with data entry and database management (Raiser’s Edge or similar). - Ability to take formal minutes and produce reports. - Strong organizational and multitasking abilities. - Discretion with confidential information. - Knowledge of marketing and fundraising concepts is an asset. - Research skills using internet resources. **Required Education & Certifications:** - Bachelor’s degree or College Diploma in Administrative Studies or related field. - Minimum of 5 years of related administrative experience.
