Job Description
**Job Title** Executive Assistant **Role Summary** Provide comprehensive administrative support to the General Direction of a national banking association, managing calendars, travel, communications, and office operations to enable efficient decision‑making and stakeholder engagement. **Expectations** * Maintain strict confidentiality and professional discretion. * Demonstrate a high level of accuracy, organizational rigor, and proactive problem‑solving. * Operate independently while collaborating effectively with cross‑functional teams. **Key Responsibilities** * Schedule appointments, manage calendars, and coordinate domestic/international travel arrangements for senior executives. * Prepare, distribute, and update agendas and meeting materials for internal and external sessions. * Conduct physical and telephonic reception duties for staff and external visitors. * Serve as the primary liaison for contracted service providers and oversee service delivery. * Handle inbound/outbound mail, emails, and telephone communications; route correspondence appropriately. * Compile and organize preparation dossiers for executive board meetings. * Arrange room bookings and catering for meetings; manage logistics for internal and client events. * Oversee office supply, software, and hardware procurement; maintain inventory records. * Process invoices, forward to accounting, and track budget compliance. * Coordinate administrative requests and support staff across the organization. **Required Skills** * Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and mail merge tools. * Strong organizational and multitasking abilities with meticulous attention to detail. * Excellent verbal and written communication skills, including client‑facing interaction. * Ability to work autonomously, prioritize tasks, and adapt to changing demands. * Team‑oriented mindset with empathy, active listening, and relational acuity. * Discretion, integrity, and sense of responsibility regarding confidential information. * Experience in a small or mid‑sized organization is a plus. **Required Education & Certifications** * Bachelor’s degree (or equivalent) in Business Administration, Office Management, or related field. * Certification in Office Administration, Executive Assistance, or a similar credential is desirable.
