Job title: Corporate Personal Assistant – 12‑Month Fixed Term Contract
Role Summary:
Provide high‑level administrative support to fee earners in a Corporate legal team. Manage diaries, travel, client files, billing, and other operational tasks while ensuring confidentiality and professionalism.
Expectations:
- Minimum 3 years experience as a PA in a professional services environment.
- Demonstrated initiative, proactive problem‑solving, and ability to work under pressure.
- Strong communication, diplomatic, and interpersonal skills.
- High attention to detail and strong organisational aptitude.
- Flexibility to adapt to change and manage multiple priorities.
Key Responsibilities:
- Schedule and manage diaries for multiple fee earners, pre‑empt and resolve conflicts.
- Arrange domestic and international travel, conference bookings, and meeting room set‑up; prepare and distribute pre‑conference materials.
- Maintain client files, draft engagement letters, assist with due diligence and file opening.
- Support billing process: coordinate with accounts, prepare financial reports for clients and partners.
- Control personal and shared mailboxes, email filing, and document management.
- Respond to enquiries from clients, colleagues, and third parties, delivering accurate and timely information.
- Process expenses, consolidate reports, and support finance functions.
- Handle ad‑hoc IT queries, liaise with IT for resolution, and assist onboarding of new staff.
- Cover for other PA absences and provide additional administrative support as needed.
- Participate in ad‑hoc projects, contribute ideas for process improvement, and share best practices.
- Maintain confidentiality, discretion, and professional conduct.
- Complete mandatory training and adhere to firm policies.
Required Skills:
- Excellent organisational and prioritisation abilities.
- Knowledge of billing processes and financial reporting.
- Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Teams) and document management systems.
- Exceptional written and verbal communication skills.
- Discretion, confidentiality, and diplomatic demeanor.

Required Education & Certifications:
- Relevant bachelor’s degree desirable but not mandatory.
