Job Description
**Job Title** Admin & Business Support Apprentice **Role Summary** A 18‑month apprenticeship providing on‑the‑job training in administrative and business support within Recruitment and Health & Safety functions. The role involves coordinating recruitment processes, managing applicant data, and supporting safety documentation and reporting while developing core administrative, communication, and digital skills. **Expectations** - Achieve a recognised qualification through structured training. - Complete required on‑the‑job and provider training modules, including core education update. - Demonstrate professionalism, proactive learning, and a willingness to take on new responsibilities. - Work reliably within a 37.5‑hour week, including 6 hours of off‑job learning. **Key Responsibilities** *Recruitment Support* - Maintain and update the Applicant Tracking System (ATS). - Coordinate and schedule assessment days, interviews, and psychometric testing. - Prepare assessment materials and set up assessment rooms. - Manage recruitment inbox, respond to queries, and post job adverts. - Collate interview templates, upload documents to SharePoint, and track recruitment metrics. - Produce weekly activity reports. *Health & Safety Support* - Maintain safety documentation: tramway procedures, Safe Systems of Work, incident reports, risk assessments, and inspections. - Coordinate controlled documents within the safety management system. - Prepare agendas, minutes, and materials for Safety Review Meetings, Rule Book Committees, and safety briefings. - Assist in generating safety trend analysis, KPIs, and monthly dashboards. - Support safety campaigns, briefings, toolbox talks, Safety Days, and depot tours. - Maintain data accuracy in incident management systems, competence systems, and digital audit tools. - Produce routine safety performance reports for Operations, Engineering, HR, and Leadership. **Required Skills** - GCSEs (or equivalent) in English Language and Mathematics (Grade 4/C or above). - Strong written and verbal communication skills. - Excellent organisational and time‑management abilities. - Attention to detail and a proactive, solution‑focused mindset. - Collaborative, adaptable, and comfortable working in a team. - Basic data reporting and trend analysis understanding. - Digital confidence: proficient with Microsoft Office (Outlook, Word, Excel); ability to learn new systems. - Customer‑service awareness and a helpful attitude. **Required Education & Certifications** - Minimum: GCSEs (or equivalent) in English Language and Mathematics (Grade 4/C or above). - Apprenticeship qualification to be earned during the 18‑month programme.
