**Job title:** Executive Assistant
**Role Summary:** Provide high‑level administrative and secretarial support to two Co‑Founders, managing their schedules, travel, communications, and key operational projects while partnering with the CFO on office relocation and supporting finance and event teams.
**Expectations:**
- Deliver proactive, hands‑on assistance with a “can‑do” attitude.
- Maintain confidentiality, professionalism, and a polished presentation.
- Adapt to a fast‑paced, demanding environment, multitasking without compromising accuracy or prioritising effectively.
**Key Responsibilities:**
- Manage extensive online diaries (personal & work), ensuring timely briefing for all meetings.
- Coordinate internal and external meetings, lunches, and Zoom calls, booking venues, restaurants, and refreshments.
- Arrange domestic and international travel and accommodation for the Co‑Founders and wider team, handling all related documentation.
- Support company‑wide marketing events, including dinners, conferences, networking events, and occasional evenings.
- Organise annual “Summer Away Day,” Christmas party, quarterly socials, and other social events.
- Assist finance team with travel booking, expense claims, office supply procurement, and ad‑hoc purchasing.
- Partner with the CFO on office relocation logistics (SW London to Central London).
- Perform general PA duties: message taking, email monitoring, post handling, file management, correspondence typing, dictation, minute taking.
**Required Skills:**
- Proven experience as a Personal/Executive Assistant, preferably in a communications agency.
- Advanced Outlook proficiency; intermediate Word, Excel, Google Sheets/Docs.
- Exceptional organisational, multitasking, and prioritisation skills.
- High attention to detail, commercial initiative, sound judgement, and the ability to anticipate business needs.
- Excellent telephone manner, polished presentation, and professional demeanor.
- Strong interpersonal skills, approachability, flexibility, and a practical, common‑sense attitude.
**Required Education & Certifications:**
- Minimum 12‑year UK schooling equivalent; no specific degree mandated.
- No mandatory certifications, but proven competence in administrative tools and processes is required.
