**Job title**
HR Coordinator
**Role Summary**
Provide comprehensive administrative support to the Human Resources team, ensuring accurate execution of recruitment, onboarding, off‑boarding, performance management, and compliance processes. Act as the primary point of contact for employees and managers on HR-related matters, maintaining data integrity in Workday and supporting HR initiatives and policy updates.
**Expectations**
- Deliver consistent, confidential, and compliant HR administration within agreed timelines.
- Maintain up‑to‑date employee records and statutory documents.
- Collaborate effectively with HR Business Partners, managers, and payroll.
- Communicate clearly with candidates, new starters, and leavers; uphold a professional, employee‑centric service.
**Key Responsibilities**
- **Recruitment & Job Files**: Manage offer to joining process, create and archive job files, write job descriptions to template standards.
- **New Starter Onboarding**: Draft contracts, enter details into Workday, coordinate induction and paperwork, ensure timely transfer to payroll.
- **Employee Welfare**: Support absence management, conduct welfare meetings, record notes and follow‑ups.
- **Training Needs**: Assist in training needs analysis with managers, collect data for talent development.
- **Leaver Management**: Conduct exit interviews, raise leavers forms, calculate entitlements, update Workday, archive files quarterly.
- **Performance & Probation**: Advise managers on review dates, complete probation processes, log disciplinary actions.
- **Compliance & Data**: Maintain HR tracker for metrics (e.g., turnover, time‑to‑hire), update Workday data, ensure GDPR/Privacy compliance.
- **Contract & Leave Administration**: Schedule contract end dates, administer maternity/paternity and shared parental leave, manage newsletters for absentees.
- **HR Projects & Continuous Improvement**: Contribute to policy updates, system enhancements, and other HR projects.
- **Disciplinary & Grievance**: Act as HR representative, take notes during meetings, record sanctions in Workday.
- **General Administration**: File departmental paperwork, process paperwork, support team during peak periods.
**Required Skills**
- Strong proficiency in Workday (or equivalent HRIS) and MS Office.
- Excellent written and verbal communication.
- High level of confidentiality and data integrity.
- Organizational and time‑management skills; ability to meet multiple deadlines.
- Knowledge of UK/European employment legislation and statutory obligations.
- Ability to work independently and as part of a cross‑functional team.
**Required Education & Certifications**
- A‑level or equivalent academic qualification.
- Minimum 2 years experience in HR coordination or administration.
- Experience handling Permanent, Fixed‑Term Contract, and Contractor engagements.
- Minimum CIPD Level 5 or equivalent professional development.
