Job Description
Job title: Business Office Team Leader Role Summary: Lead the transactional finance operations for Wigan and Bolton contracts, managing service desk requests, procurement, invoicing, inventory, and supplier relationships to deliver high‑quality customer service and value for money. Oversee two direct reports, coordinate cross‑departmental initiatives, and drive process improvement. Expectations: - Deliver accurate and timely financial processes (invoicing, reconciliations, overtime payments). - Maintain service level and supplier quality through proactive engagement and negotiation. - Provide effective communication and training on new tools and procedures. - Demonstrate proactive problem‑solving, continuous improvement, and strong stakeholder collaboration. Key Responsibilities: - Manage service desk tickets and procurement workflow. - Coordinate monthly/quarterly invoicing, reconciliations, and reporting. - Maintain product catalogs and pricing for online portals. - Raise and process purchase orders in Certinia. - Negotiate competitive pricing and ensure timely supplier deliveries. - Monitor stock levels, asset records, tag management, and CMDB updates. - Handle warranty/out‑of‑warranty repairs. - Issue invoices (manual, milestone, proforma). - Support contract renewals (third‑party services, SSL, domains). - Manage monthly overtime and on‑call payment administration. - Coordinate milestone award purchases for long‑service recognitions. - Work with finance and business units to adopt new tools and procedures. Required Skills: - Minimum 5 years of team leader experience in finance or administrative operations. - Strong organisational and prioritisation skills. - Excellent written and verbal communication. - High attention to detail and accuracy in financial tasks. - Proficiency in Microsoft Office (Excel, Word, PowerPoint). - Ability to learn new systems, tools, and processes. - Proactive problem‑solving and continuous improvement mindset. - Strong relationship‑building with suppliers and internal teams. - Experience with stock and asset management. Required Education & Certifications: - Bachelor’s degree in Finance, Accounting, Business Administration, or related field (preferred). - Relevant professional certifications (e.g., CPA, ACCA, CMA) are an advantage but not mandatory.
