**Job Title:** Department Admin Assistant
**Role Summary:**
Provide comprehensive administrative and operational support to the department, ensuring efficient office processes, supply chain coordination, data reporting, policy compliance, event planning, and budgetary assistance while serving as a primary point of contact for internal and external stakeholders.
**Expectations:**
- Deliver timely and accurate administrative services in a fast‑paced environment.

**Key Responsibilities:**
- Oversee office administration, implement and review processes for operational efficiency.
- Manage warehouse and office supplies: plan, order, analyze usage, and conduct inventory audits.
- Handle general inquiries, verify invoices, and maintain up‑to‑date records.
- Assemble data, prepare periodic and ad‑hoc reports, dashboards, and KPIs.
- Prioritize work, delegate tasks to support staff, and monitor deadline compliance.
- Support educational institution admin tasks (admissions, post‑secondary processes).
- Administer policies related to records release, privacy, and government access.
- Coordinate office services: accommodation, relocations, equipment, disposal, parking, maintenance, and security.
- Assist budgeting, contracting, and project planning; support operating budget preparation.
- Provide administrative support to management: scheduling, meeting coordination, event planning.
- Serve as liaison for client and stakeholder interactions.
- Execute additional tasks as directed by management.
**Required Skills:**
- Strong organizational and project‑management abilities with meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); database/reporting tool experience; SQL knowledge is a plus.
- Excellent interpersonal and written communication skills.
- Ability to work autonomously and as part of a team.
- Commitment to ethics, integrity, and professionalism.
**Required Education & Certifications:**
- Bachelor’s degree in Business Administration, Operations Management, or related field.
- 0–2 years of administrative or operational support experience in a fast‑paced environment.
