Job Description
**Job Title:** HR Administrator (Sites) **Role Summary:** Provide comprehensive administrative support for site‑based HR functions, maintaining accurate employee records, assisting recruitment and promotion processes, and delivering HR services to staff across multiple locations while ensuring compliance with data protection and employment legislation. **Expectations:** - Ensure precise, up‑to‑date HR documentation for all site personnel. - Deliver timely recruitment administration and contract issuance. - Support workforce planning with reliable data for managers and HR leadership. - Respond promptly to HR inquiries and maintain high confidentiality standards. - Contribute to continuous improvement and cross‑functional support within the HR team. **Key Responsibilities:** - Maintain electronic and paper HR records for site staff (e.g., Assistant Site Managers, Grounds Persons, Winter Caretakers, ad‑hoc staff). - Process CVs, manage SurveyGizmo recruitment tools, and prepare offer letters/contracts. - Compile data for Site Manager selection and promotion decisions; provide reports to Regional Managers, Head of Site Operations, and HR Manager. - Manage SAP and internal HR spreadsheets (staff contacts, staffing records). - Monitor HR Sites inbox; respond to correspondence and queries within agreed timelines. - Provide general HR advice and administrative support (office coverage, event attendance, invoice preparation, purchase orders, office supplies). - Administer Free Pass program information and schedule updates. - Liaise with ad‑hoc staff for temporary vacancies. - Perform ad‑hoc tasks as directed by HR Manager/Advisor. **Required Skills:** - Strong verbal and written communication. - Excellent planning, organization, and attention to detail. - Proficiency in Microsoft Office; intermediate Excel preferred. - Ability to work diplomatically with all levels of staff. - Confidentiality and data protection awareness. - Ability to work under pressure and meet deadlines. - SAP experience (desirable). - Team‑oriented with genuine interest in people. **Required Education & Certifications:** - Minimum: High school diploma or equivalent. - Preferred: Relevant HR qualification or certification (e.g., CIPD Level 3/5) or comparable experience in HR administration.
