Manage office facilities, procurement, events, travel, and client interactions to ensure a smooth and professional workplace environment. **Expactations** - 1–3 years of office administration or workplace support experience. - Excellent written and verbal communication in English. - Strong organisational, multitasking, and problem‑solving skills. - Proficiency in Google Workspace, Microsoft Excel, and general IT literacy. - Ability to liaise confidently with vendors, suppliers, and service providers. - Professionalism, discretion, and calm under pressure. **Key Responsibilities** 1. **Daily Office Operations** – open and set up office, maintain cleanliness and supplies, receive parcels. 2. **Facilities & Workplace Support** – manage meeting‑room bookings, IT/AV checks, building maintenance, access passes, health & safety record‑keeping. 3. **Purchasing & Stock** – support purchasing, raise POs, track office supplies and refreshments. 4. **Events & Travel** – coordinate office events, client catering, complex travel itineraries, and team logistics. 5. **Client & Team Experience** – greet clients, assist colleagues with diaries and ad‑hoc admin, maintain spreadsheets and basic reporting. 6. **Executive Support** – prioritise workloads, manage calendars across time zones, prepare agendas, track expenses, handle enquiries, assist research and special projects, offer personal assistance as needed. 7. **Coordination & Communication** – liaise with internal departments (HR, Finance, etc.) and external stakeholders, anticipate scheduling conflicts, share knowledge, support consistent team workflows. **Required Skills** - Office administration & workplace support - Calendar & diary management - Vendor & supplier liaison - Travel and event coordination - Google Workspace, Microsoft Excel, basic IT - Written & verbal communication (English) - Organisational & multitasking abilities - Attention to detail, problem solving, discretion **Required Education & Certifications** - High‑school diploma or equivalent; further qualifications in business administration, office management, or related fields preferred.
