Now Hiring: Events Coordinator — Craft Unforgettable New Hire Experiences

Location: London

Type: 12 month Contract

Our client is searching for an exceptionally organized, upbeat, process-driven Events Coordinator to help bring world-class onboarding experiences to life. You’ll be at the heart of the new hire journey, ensuring every detail—from the first email to the first day—is executed flawlessly. Your work will shape how hundreds of employees experience their first moments with the company.

What You’ll Do

Provide onsite support for weekly New Hire Orientation sessions (50–100 attendees per session) across MPK, London, and Singapore.
Serve as the in-room expert—setting up spaces, partnering with culinary, security, and facilities teams, and ensuring events run smoothly.
Manage pre-start processes: sending invites to speakers, communicating with new hires, greeting guests, and handling last-minute changes with grace.
Own inventory management (including swag), which involves occasional lifting and organization.
Operate a new hire support queue, answering questions and guiding employees through onboarding steps.
Conduct reporting and audits using Google Suite.
Bring energy to the room—this role involves public speaking and event presence.

What You Bring

Must-Have (Non-Negotiables)

3+ years of event planning experience (conferences, orientations, large-scale programs).
Outstanding communication and customer service skills—written, verbal, and interpersonal.
Strong reporting and organizational abilities, especially in Google Suite.

Core Requirements

Expert at picking up new tools and systems quickly.
Sharp attention to detail and exceptional time management.
Able to juggle multiple projects at once without dropping the ball.
Comfortable collaborating across teams and also taking initiative independently.
Thrives in ambiguous, ever-evolving environments.
Confident speaker in front of large groups.
Proficient in MS Office and Google Suite.

Preferred Qualifications

Experience supporting new hire onboarding programs.
Event operations experience.
Familiarity with Salesforce or LMS tools.
Bachelor’s degree.
4+ years of professional experience.

Not an ideal fit:

Candidates whose experience is primarily in recruitment coordination, HR onboarding coordination, or wedding-only event planning.
