I’m Candis, part of the leadership team in the Emergency Department at St. Michael’s Hospital. We are a busy, inner-city teaching ED that cares for a diverse population — and we’re equally proud of the diversity within our staff team. I’m looking for a strong administrative partner who can be my right hand — someone energized by problem-solving, staying organized, and supporting excellent patient care in a role where no two days are the same.

The Role

As the Administrative Assistant, you’ll be at the centre of ED operations, supporting staff coordination, patient flow, and departmental initiatives. This role requires a fast learner with a positive attitude who thrives in a collaborative, mission-driven team.

Key Responsibilities

Coordinate staff schedules and payroll data entry
Manage departmental records, databases, and filing systems
Handle daily communications (calls, emails, urgent messages)
Organize meetings, prepare agendas, take minutes, and track follow-ups
Assist with onboarding, recruitment, teaching activities, and departmental events
Provide front-line support to patients, visitors, and staff
Support incident monitoring, reporting, and quality improvement initiatives

Qualifications

Office Administration diploma or equivalent experience
1–2+ years of administrative/secretarial experience (healthcare preferred)
Experience with payroll, scheduling systems, or workforce coordination
Strong proficiency with Microsoft Office (Excel, Outlook, Word, PowerPoint) and hospital systems
Excellent communication and organizational skills; ability to multitask under pressure
Reliable, solutions-oriented, and collaborative mindset
ED or medical terminology experience is an asset
