Job Title: Project Coordinator – Estates (Lease Renewals & Ground Lease Buy‑Outs)
Role Summary: Coordinate and lead lease renewal and ground lease buy‑out projects, manage a team of negotiators, and serve as the primary liaison between Estates and internal stakeholders to ensure compliance, data integrity, and timely delivery.
Expectations: • Lead and mentor a negotiation team. • Act as the central point of contact for all lease‑related queries. • Ensure projects run smoothly, efficiently, and in full compliance with legal and internal standards. • Support the Estates Project Manager in planning, monitoring, and reporting.
Key Responsibilities:
- Lead lease renewal and ground lease buy‑out negotiations, delivering high‑quality outcomes.
- Validate information and serve as the main point of contact for lease‑related queries.
- Plan, monitor, and report on lease renewal and buy‑out cases; identify risks and implement mitigation plans.
- Coordinate project workflows, ensuring seamless delivery and compliance across new sites, replacements, colocations, and relocations.
- Maintain audit‑ready, high‑quality data across shared systems and documentation.
- Oversee end‑to‑end approval processes and support due diligence for M&A opportunities.
- Drive lease reviews and support cost‑optimization programs.
- Validate and integrate transition data; enforce consistent documentation standards, version control, and archiving.
- Prepare lease packages, addenda, and supporting documents for internal and external use.
- Serve as first point of contact for landlords and tenants for site‑related activities.
- Support lease administration tasks (rent adjustments, addenda, terminations) and coordinate site inspections, handovers, and relocations.
Required Skills:
- Solid experience in lease administration, property management, and acquisitions.
- Proven leadership or supervisory experience.
- Strong ability to review, interpret, and manage lease contracts and legal documentation.
- Excellent organizational and communication skills; ability to manage multiple priorities.
- Proficiency with Microsoft Office and property management databases.
- Proactive, problem‑solving mindset with meticulous attention to detail.
- Fluency in English, French, and Dutch.
Required Education & Certifications:
- Bachelor of Science in Law (BSC Law) or equivalent legal qualification, or a paralegal background.
- Strong knowledge of business law, particularly right of superficies and easement, is highly desirable.
