Job Description
Job Title: Accounts Payable Assistant (Apprentice) Role Summary: 48‑month apprenticeship delivering practical Accounts Payable experience while studying for the Association of Accounting Technicians (AAT) qualification. Supports the Finance Control team in invoice processing, discrepancy resolution and audit support, progressing from AAT Level 2 to Levels 3 & 4. Expectations: - Attend one day per week Kaplan classroom training and complete AAT examinations. - Develop and maintain accurate supplier records, ensuring adherence to payment terms. - Collaborate closely with Finance Control and Purchase Ledger clerks to resolve queries. - Demonstrate growth by taking on additional responsibilities as AAT progression is achieved. Key Responsibilities: 1. Process and match invoices, purchase orders and goods receipts. 2. Investigate and resolve invoice discrepancies, communicating with suppliers as needed. 3. Assist with audit requests and compile required documentation. 4. Support the payment run process, ensuring accurate and timely supplier payments. 5. Maintain up‑to‑date accounts payable ledger and supplier database. 6. Utilize accounting software and MS Office (Excel) for data entry, reporting and analysis. 7. Adhere to internal controls, policies and procedures. 8. Participate in continuous improvement initiatives for the AP process. Required Skills: - Strong numerical and analytical aptitude. - Excellent attention to detail and problem‑solving ability. - Effective time‑management and organisational skills. - Clear verbal and written communication; ability to work collaboratively. - Proficiency in Microsoft Office, especially Excel. - Willingness to learn and adapt to new accounting software and procedures. Required Education & Certifications: - Current enrolment in or completion of AAT Level 2, with progression to Levels 3 & 4 planned. - No formal degree required; however, a solid academic record and interest in finance/accounting are preferred.
