**Job Title**
Administrative Assistant – Metropolitan Funeral Site
**Role Summary**
Provide comprehensive administrative support to the cemetery manager and crematorium team. Coordinate family and professional interactions, manage concession sales and renewals, oversee funeral operations, maintain site supplies, and ensure compliance with funeral legislation and internal policies. Act as a liaison among technical staff, partners, and service providers to ensure smooth daily functioning of the cemetery and crematorium.

- Prioritize duties, handle urgencies, and manage multiple tasks with strong organizational skills.
- Uphold confidentiality and demonstrate high ethical conduct.
- Contribute to budget monitoring, reporting, and statistical analysis of site activity.
**Key Responsibilities**
1. **Public & Professional Engagement**
- Welcome families, funeral homes, stone masons, horticultural firms, and other contractors via phone and in person.
- Provide information on concession options and site services.
2. **Concession Management**
- Process new concession sales, renewals, conversions, reassignments, and withdrawals.
- Draft renewal and conversion letters; manage correspondence with owners and heirs.
- Record and update concession data in the Muse, AWS, and Grand Angle systems.
3. **Funeral Operations Oversight**
- Verify legality and proper execution of interments, exhumations, urn deposits, urn retrievals, and dispersions.
- Maintain administrative files for all funeral operations in the Elabor software.
4. **Administrative & Records Management**
- File, archive, and retrieve concession and operation documents.
- Prepare and circulate decrees of sale, renewal, or conversion using X.Bus and X.Acte.
5. **Supply & Site Maintenance**
- Manage office and technical equipment inventories; place orders and liaise with suppliers.
- Record maintenance requests and coordinate interventions with internal staff.
6. **Financial & Reporting Duties**
- Assist in budget execution, invoice validation, and payment processing via Grand Angle.
- Compile monthly activity statistics, concession inventories, and contribute to the annual activity report.
- Oversee flower sales for All Souls’ Day, coordinating orders and billing with Finance.
7. **Operational Support (Secondary)**
- Open and close the site in the absence of technical staff.
- Monitor sanitation and security; supervise funeral operations when required.

- Valid B‑class driving licence.
**Required Education & Certifications**
- Bachelor’s degree or equivalent in Administration, Business, Public Administration, or related field.
- Formal training or certification in funeral regulations is preferred.
- Proficiency in French and English (written and spoken) is required.
