Job Description
**Job title:** Specialist, Events **Role Summary:** Responsible for planning, coordinating and executing onsite, hybrid, and off‑site events for internal and external clients. Works within the Client Services team to deliver event experiences that meet client expectations and support firm initiatives. **Expectations:** - Deliver high‑quality events on time and within budget. - Demonstrate creative, client‑focused solutions. - Maintain strong vendor relationships and negotiate favorable terms. - Collaborate effectively with cross‑functional teams and stakeholders. - Adapt to flexible hours and changing priorities. **Key Responsibilities:** - Conceptualize and execute events, including site inspections, catering, AV, décor, entertainment, and staffing. - Conduct needs assessments with clients to ensure satisfaction. - Facilitate planning meetings, develop event proposals, BEOs, budgets, critical paths, invites, posters, and floor plans. - Manage budgets, invoices, inventory, and vendor contracts. - Maintain and archive all event documentation. - Provide support for Client Floor activities, reception coverage, and leadership. - Identify process improvements and recommend actions to leadership. - Assist with additional firm projects and events as required. - Represent the firm at industry associations (e.g., TLOEPA, MPI, PCMA). - Offer backup support to team members during absences. **Required Skills:** - Excellent written and verbal communication. - Strong organizational and multitasking abilities. - Vendor negotiation and relationship management. - Budgeting and financial tracking. - Proficiency in MS Office (Word, Excel, PowerPoint, Outlook), Adobe, Visio, Canva, and meeting‑room scheduling software. - Familiarity with Zoom meetings and webinars. - Discretion, confidentiality, and attention to detail. - Ability to work independently and as part of a team. **Required Education & Certifications:** - College diploma or equivalent. - Certified Meeting Planner (CMP) designation preferred. - 3–5 years of relevant experience in a professional services event or client‑service environment. - Valid driver’s licence.
