Job Description
**Job Title:** Administrative Assistant **Role Summary:** Provide comprehensive administrative support to ensure efficient operations, act as the primary point of contact for customers, coordinate engineer schedules, maintain accurate records, and facilitate timely completion of jobs while upholding service quality standards. **Expectations:** - Deliver high‑quality administrative service with attention to detail. - Meet all internal and client deadlines. - Maintain accurate, up‑to‑date records and reports. - Communicate clearly with internal teams and external stakeholders. - Remain calm under pressure and solve problems proactively. **Key Responsibilities:** - Serve as first point of contact for incoming customer calls and inquiries. - Schedule and coordinate engineers’ work plans to align with client requirements. - Track job progress to ensure completion on time and to company standards. - Update client registers and internal databases accurately. - Liaise with clients, tenants, engineers, and project managers as needed. - Manage calls, arrange appointments, and resolve routine queries. - Collect, process, and file job sheets and certificates for billing and reporting. - Produce reports and maintain records using Excel and internal systems. - Prepare and distribute reminders, letters, and updates via mail merge, text, and email. - Provide daily status updates to clients and support engineers. - Perform additional administrative duties to support the team’s objectives. **Required Skills:** - Strong customer service orientation with professional telephone etiquette. - Proven experience in administration and/or scheduling. - Advanced proficiency in Microsoft Office, especially Word and Excel. - Highly organized, detail‑focused, and capable of prioritizing workload. - Ability to remain calm under pressure and apply effective problem‑solving. - Excellent written and verbal communication across all levels. - Reliable, punctual, and collaborative team player. **Required Education & Certifications:** - Minimum: High school diploma or equivalent. - Preferable: Post‑secondary qualification in Business Administration, Office Management, or related field. - Relevant certifications (e.g., Microsoft Office Specialist) are advantageous but not mandatory.
