Job Description
Job Title: Personal Assistant Role Summary: Provide high‑level administrative support to the Technical, Finance, and Regional Directors on a 1‑year fixed‑term contract. Manage executive diaries, inboxes, and day‑to‑day office operations, coordinate meetings and events, ensure timely communications, and maintain strong stakeholder relationships. Expactations: Highly proactive, flexible, and highly organized in a fast‑paced environment; excellent time‑management and prioritization skills; strong interpersonal and stakeholder communication abilities; able to shift priorities seamlessly while maintaining attention to detail. Key Responsibilities: - Maintain and proactively manage directors’ diaries ensuring optimal time allocation across projects, clients, and internal meetings. - Oversee inbox management, prioritize and respond to emails, and handle independent queries. - Facilitate smooth day‑to‑day office operations and address last‑minute requests promptly. - Provide ad‑hoc assistance to the Leadership Team and support other PAs at the Head Office. - Cover for other PAs, collaborating on Leadership Team events, away days, and meetings for full coordination. - Track directors’ locations, ensure punctuality, and interject from meetings when required. - Build and maintain relationships with clients, supply‑chain representatives, and their PAs. - Prepare agendas, minutes, and supporting documentation for recurring meetings. - Monitor directors’ action items, ensuring objectives are prioritized and tracked to completion. - Manage all correspondence flow, secure signatures on time‑sensitive documents, and route items to relevant departments. - Submit timely expense claims (corporate card and cash) and coordinate IFS approvals with AP and project teams. Required Skills: - Proven PA experience supporting senior executives. - Exceptional organization, time‑management, and prioritization. - Ability to juggle multiple tasks with shifting deadlines. - Excellent written and verbal communication; adept at interacting with stakeholders at all levels. - Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). - Strong attention to detail, proactive response, and decisive action. - Experience within a construction or related industry is advantageous but not mandatory. Required Education & Certifications: - Minimum of secondary education; higher education or related qualifications preferred. No mandatory certifications.
