What is the overall job?

This is a 1 year Fixed term contract Mat Cover position.

Required

We are looking for a highly proactive and flexible PA with excellent organisational, time management and interpersonal skills to provide high-level administrative support to senior leaders while ensuring the smooth day-to-day running of our office environment. You will support our Technical Director, Finance Director and Regional director. As well as supporting wider teams when required. Other key responsbilities will include:

Extensive and proactive diary management to ensure sufficient time is distributed between projects, clients and internal meetings.
Inbox management for the Directors to ensure emails are responded to and any queries that can be handled independently are done so promptly.
Ensure everyday runs smoothly and last-minute requests are dealt with promptly.
Ad hoc general assistance to the Leadership Team and other PAs at Head Office when required.
Provide cover to the other PAs and work together on any Leadership Team events, meetings and away days etc to ensure full coordination.
Ensure all Directors are kept to time and are called out of meetings when needed, remaining aware of location at all times.
Develop and maintain relationships with clients, supply chain representatives and their respective PAs.
Agenda and documentation preparation for recurring meetings.
Manage the Directors actions to ensure objectives are met and prioritised.
Responsible for managing the flow of correspondence and maintaining accurate records, including promptly arranging signatures on time sensitive documents and returning or on-forwarding to correct department for action.
Submit expenses claims in a timely manner for both corporate card and cash expenses
Ensure IFS approvals are completed as promptly as possible by communicating regularly with the accounts payable department and the project teams.

What do I need to be super successful in this role?!

Previous PA experience at Senior Executive level
Highly organised with exceptional time management and prioritisation skills.
Comfortable managing multiple tasks and shifting priorities in a fast-paced environment.
Excellent communication skills, both written and verbal, with the ability to interact with stakeholders at all levels.
Excellent knowledge of Microsoft Office Suite - Outlook, Excel, Word and PowerPoint
Experience in a construction company would be a plus but not essential
Strong attention to detail and be quick to respond and take action
