**Job Title:**
Assistant Director – Support for CAIA Network Animation
**Role Summary:**
Provide administrative, event coordination, communication and website support to the Confederación Amigable de Ingenieros de Armamento (CAIA), enabling member engagement and organizational events. Work as a self‑employed contractor roughly 3 days per week, with a mix of onsite and remote work.
**Expectations:**
- Operate as an independent contractor under a service contract.
- Commit to a 3‑year engagement, renewable annually, with a starting date of 1 Jan 2026.
- Offer 3 days per week of service, with at least one onsite day; remaining days may be remote.
- Maintain responsiveness, confidentiality, and high organisational standards.
**Key Responsibilities:**
1. **Executive Support** – Assist the President/CEO and general delegate with mail handling, scheduling, and general administrative tasks.
2. **Event Coordination** –
- Plan and support logistics for councils, board meetings, dinners, afterworks, regional visits, annual General Assembly, Gala, and Colloquium.
- Manage invitations, attendance tracking, minutes, and post‑event follow‑up.
3. **Financial & Administrative Tasks** –
- Support treasurer with invoicing, fee collection, payment processing, and procurement.
- Maintain document filing, archives, and email organization.
4. **Website & Communication** –
- Update CAIA website pages, manage member contact information, and coordinate liaison with board members.
- Draft and disseminate member communications, including newsletters, event announcements, and special print materials.
5. **Directory Management** – Update member directory, create new member profiles, and coordinate member information completion.
6. **Special Projects** – Assist with marketing collateral for events (programs, invitations, posters), sponsor outreach, and logistical support during major events.
**Required Skills:**
- Proficient in Microsoft Word and basic Excel; familiarity with website publishing tools.
- Strong oral and written communication; clarity in emails, minutes, and member correspondence.
- Initiative, autonomy, availability, reactivity, teamwork, rigor, organisation, discretion, and sensitivity to confidential information.
**Preferred Skills:**
- Advanced Excel, PowerPoint, and publishing software (e.g., InDesign).
- Basic financial management (invoice creation, payment tracking).
- Experience in event coordination and member services.
**Required Education & Certifications:**
- Bachelor’s degree in Business Administration, Communications, Marketing, or a related field.
- No specific certifications required.
