Job Description
**Job title** Interview Coordinator – Fixed Term Contract **Role Summary** Coordinate and manage all onsite interview arrangements for Service Users (SUs) across various shifts. Responsible for ensuring interview environments are prepared, devices function, candidate welfare checks are performed, and accurate records are logged. Operates under minimal supervision and provides handover across early, main, and late shifts. **Expatcations** - Work 40 hours per week across three 8‑hour shift patterns (early, main, late). - Maintain strict adherence to confidentiality and data protection protocols. - Deliver timely reports on IT issues, non-attendance, and welfare concerns. - Support cross‑site and remote colleagues when needed. **Key Responsibilities** - **Early Shift** – Confirm IT equipment readiness; clean interview booths and waiting areas; organise refreshments; greet SUs 15 minutes before first interview; set up interview booths and verify applicant details; provide on‑site assistance during interviews; conduct privacy welfare checks; log welfare checks in Athens; assist with second interview; transition final interview details to late shift. - **Main Shift** – Manage email communications for Home Office Interview Coordinators; liaise with home office oversight team; prepare and distribute daily interview schedules; meet SUs pre‑interview to confirm invitations and special needs; arrange translators; maintain interview register with start/finish times and issues; log non‑attendance and any issues; assist and cover other coordinators; report IT problems. - **Late Shift** – Repeat early shift greeting, booth setup, welfare checks for post‑interview; secure and clean interview spaces; ensure all IT equipment is powered off. - Maintain accurate records, handovers, and respond promptly to line manager and team member requests. - Participate in meetings, deliver on‑the‑job training, and monitor own performance per personal development plan. **Required Skills** - Excellent organisational and multitasking abilities. - Strong verbal and written communication skills. - Proficient with IT equipment set‑up and basic troubleshooting. - Ability to conduct welfare checks and handle sensitive information confidentially. - Time‑management and reliability in shifting environments. - Basic knowledge of workplace health & safety standards. - Team collaboration, flexibility, and ability to work independently. **Required Education & Certifications** - Minimum of high school/secondary education. - Relevant training in data protection (PCI, GDPR) and health & safety preferred. - Experience with interview coordination or similar administrative role advantageous. ---
