Job Description
**Job Title** Administrative Assistant **Role Summary** Serve as the primary contact point for community partners, advocacy groups, service providers, and study participants while providing comprehensive administrative and research support. Manage day‑to‑day communications, coordinate office operations, and maintain documentation, financial records, and event logistics to ensure a smooth, welcoming environment for staff, clients, and stakeholders. **Expectations** - Provide courteous, professional front‑line assistance. - Maintain accurate, organized records and timely communication. - Support research workflow by handling data collection, scheduling, and reporting. - Uphold confidentiality, cultural sensitivity, and equity‑centered practices. **Key Responsibilities** - Answer and triage incoming phone calls and email inquiries; route to appropriate staff. - Draft, edit, and format letters, reports, presentations, and project materials. - Coordinate meetings, workshops, and community events; manage schedules, agendas, and minutes. - Maintain electronic and paper filing systems; manage data entry and basic bookkeeping in QuickBooks. - Assist with budget tracking, reimbursements, and invoice processing. - Monitor office supplies inventory; liaise with vendors and partners. - Support research activities: data collection for interviews, focus groups, surveys. - Perform additional administrative tasks as assigned. **Required Skills** - Strong verbal and written communication; phone etiquette. - Excellent organization, multitasking, and time‑management. - Proficient with Microsoft Office, Outlook, Google Workspace, Zoom, and QuickBooks. - Ability to handle sensitive/confidential information. - Initiative, teamwork, and independent work ethic. **Required Education & Certifications** - Diploma, degree, or certificate in Business Administration, Social Service Work, or related field, or currently pursuing. - Minimum 2 years of administrative/office support experience. - Successful police record check (required condition of employment).
