ABOUT THE JOB:

The Administrative Assistant will act as the first point of contact for DFCC and play a crucial role in managing daily communication, systems, and office coordination. This role is dual, providing administrative support to our research team. The position requires attention to detail, excellent communication skills, and the ability to handle multiple administrative tasks professionally and efficiently. The Administrative Assistant should be organized, dependable, and proactive to support daily operations and create a smooth, welcoming environment for staff, clients, and external partners.

 

RESPONSIBILITIES:

 

FRONT-LINE COMMUNICATION & SUPPORT:

Serve as a friendly and professional point of contact for community partners, advocacy groups, service providers, and study participants.
Answer and direct incoming phone calls, monitor and respond to emails.
Track initial contact information and distribute inquiries to appropriate staff.
Coordinate systems and internal communications.

ADMINISTRATIVE OPERATIONS:

Draft, edit, and format letters, reports, presentations, and other project materials.
Help organize data collection activities (e.g., interviews, focus groups, community surveys).
Coordinate meetings, workshops, and community events with partners, youth, and families.
Maintain organized electronic and paper filing systems
Assist with scheduling meetings, preparing agendas, and taking minutes
Assist with budget tracking, reimbursements, and invoice processing.
Support data entry, basic bookkeeping and reporting, including QuickBooks
Maintain inventory of office supplies and program materials
Liaise with vendors, community partners, and stakeholders as needed
Other duties as assigned to support the team and organizational goals

QUALIFICATIONS & COMPETENCIES:

Diploma, degree or certificate in Business Administration, Social Service Work, or the relevant field OR in the process of obtaining.
2+ years of administrative or office support experience.
Comprehensive knowledge of QuickBooks and other recording systems.
Strong verbal and written communication skills.
Proficient with Microsoft Office, Outlook, Google Workspace, and Zoom.
Highly organized and reliable with the ability to multitask.
Comfortable handling sensitive or confidential information.
Experience working in a nonprofit or community-based setting is an asset.
Phone etiquette and phone call triage skills
Excellent time-management skills and ability to multi-task and prioritize work
Ability to work collaboratively and independently

 

SPECIAL REQUIREMENTS:

As a condition of employment, a successful police record check is required.
