**Job title**
Personal Assistant (Executive Administrator)
**Role Summary**
Provide proactive, high‑quality administrative support to Managing Directors, Super Team Leaders, and other senior executives within the Infrastructure & Specialist Markets (I&SM) and Life & Business (L&B) units. Manage complex diaries, coordinate meetings and travel, handle confidential correspondence, and facilitate board and executive communications while ensuring efficient operation of senior leadership.

**Key Responsibilities**
- Manage diaries and scheduling for senior leaders, including arranging meetings, travel, accommodation, and meeting rooms
- Act as gatekeeper to optimise senior staff time and prioritize requests
- Prepare, edit, and manage documents, PDFs, and correspondence
- Liaise with People, Finance, Business Development, and Operations teams
- Attend executive board and cascade meetings; take accurate minutes and track actions
- Collate, prepare, and distribute board packs and executive communications using internal systems (e.g., Zylpha)
- Coordinate and support internal meetings, conferences, events, and team activities
- Assist Business Development with marketing and promotional activities
- Support recognition initiatives, promotions, and internal gifting
- Arrange performance conversations (annual and mid‑year)
- Process expense claims and mileage submissions accurately and timely
- Provide cover for other executive support colleagues during absences
- Travel across office hubs (Birmingham, Stratford‑upon‑Avon, etc.) as required
**Required Skills**
- Proven experience in executive support, secretarial, or senior administrative role
- Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel)
- Strong organisational and multitasking abilities
- Excellent communication skills, both written and verbal, with senior stakeholders
- High attention to detail and ability to work accurately under pressure
- Professional discretion and confidentiality handling
- Judgement, initiative, and proactive problem‑solving
- Adaptability, resilience, and team‑player mentality
**Required Education & Certifications**
- Minimum of secondary education or equivalent; no formal certifications required.
