Serve as the primary point of contact for client event sponsors, manage multiple programs simultaneously, and ensure delivery against timelines, budgets, and compliance standards. **Expectations** - Manage full program lifecycle from venue discovery to post‑event wrap‑up. - Deliver high‑quality, compliant events while optimizing cost and value. - Maintain strong client relationships and act as trusted advisor on industry best practices. - Operate independently across global locations with occasional travel (up to 25 %). **Key Responsibilities** - **Program Development & Execution** – Drive planning, coordination, and execution of programmes, ensuring adherence to client financial controls and timelines. - **Client Management** – Serve as daily touchpoint for client‑event organizers; advise on best practices, compliance, and cost efficiencies. - **Budget Management** – Build, communicate, and reconcile budgets throughout the planning cycle. - **Vendor Relations** – Negotiate and maintain relationships with suppliers, ensuring high service levels and professional issue resolution. - **Venue & Contract Management** – Research venues, prepare preliminary budgets, and manage e‑proposal processes. - **Attendee Management** – Track attendance, process registrations, and coordinate hotel room blocks and cancellations. - **Technology Management** – Create and maintain client event websites for data collection, registration, and compliance. - **Reporting & Compliance** – Ensure timely reporting, audit submissions, and adherence to supplier invoicing compliance. - **Process Improvement** – Contribute to the development of standard operating procedures and best‑practice guides across regions. **Required Skills** - Proven experience in meetings or programme planning, preferably with life‑science or pharma clients. - Advanced proficiency in Microsoft Office. - Expert knowledge of Cvent event management platform. - Bilingual in French and English (oral and written). - Strong vendor negotiation and client relationship management. - Ability to work independently and manage multiple concurrent projects. - Travel readiness up to 25 % (national and international). **Required Education & Certifications** - Bachelor’s degree in Hospitality, Event Management, Business, Life Sciences, or related field. - Professional certifications in event management (e.g., IETF, MEA) preferred but not mandatory.
