Job Description
Job title: Project Coordinator – Business Operations & Logistics Role Summary: Spearheads the planning, procurement, and execution of infrastructure and media operations projects, ensuring alignment between business objectives and technical delivery, while managing budgets, vendor relationships, and risk mitigation. Expectations: Deliver projects on time and within budget, maintain accurate financial tracking, develop and enforce SOPs, communicate clear updates across engineering, business, and external partners, and adapt to evolving event‑based schedules. Key Responsibilities: - Lead end‑to‑end procurement: define requirements, gather vendor quotes, and map costs to budgets. - Maintain cost trackers, PO systems, and coordinate with Accounts Payable for invoice processing. - Reconcile departmental budgets with Technology Infrastructure and Finance teams. - Create, update, and manage Bills of Materials for media and venue projects. - Track project tasks, milestones, and timelines, ensuring completion of deliverables. - Produce and maintain detailed project documentation, SOPs, and operational procedures. - Coordinate internal and external communications, aligning stakeholders and vendors. - Facilitate planning meetings, capture minutes, follow‑ups, and action items. - Identify, prioritize, and report project risks, escalating as needed. - Support logistical strategy: feasibility assessments, inventory management, and global deployment/shipment planning. - Partner with Legal and leadership to uphold Service Level Agreements for hardware and critical services. - Monitor incident dashboards (e.g., ServiceNow) and generate weekly status reports on system health and readiness. Required Skills: - Bachelor’s degree in Business, Finance, Engineering, Information Technology, or related field. - Advanced proficiency in Microsoft Excel. - Competence with collaboration and project management tools (Asana, Google Workspace, Confluence, Jira, ServiceNow). - Proven ability to manage complex procurement cycles and perform budget reconciliation. - Strong organizational skills to handle multiple high‑priority initiatives. - Excellent verbal and written communication, translating technical updates into clear business summaries. - Adaptability to time‑sensitive infrastructure deadlines and event‑based schedules. Required Education & Certifications: - Bachelor’s degree required. - No additional certifications required.
