Job Description
Job Title: Rental Hire Coordinator Role Summary: Coordinate and manage all aspects of short‑term equipment hire operations, ensuring optimal fleet utilisation, timely delivery and collection, customer satisfaction, and efficient contract administration. Expactations: • Minimum 2–3 years in logistics, equipment rental or service coordination. • Proven experience with material handling equipment, plant hire or fleet management. • Strong organisational, planning and prioritisation abilities. • Excellent customer service, communication and problem‑solving skills. • Proficiency with transport coordination, fleet scheduling and rental/CRM systems. • Ability to work under pressure, manage conflicting priorities and meet deadlines. Key Responsibilities: • Process inbound hire requests and allocate equipment based on availability, location and customer needs. • Coordinate deliveries and collections with transport providers to meet scheduled times. • Monitor hire durations, manage contract extensions, off‑hires and rehire relationships. • Maximise internal fleet utilisation through effective planning and rotation. • Track rehire equipment performance, costs and returns. • Serve as primary customer contact for hire status, delivery timing and breakdown support. • Liaise with service teams to minimise equipment downtime and resolve issues quickly. • Maintain accurate data in rental management and CRM systems. • Complete and archive all hire contracts, transport notes and off‑hire documentation. • Generate utilisation, open‑hire, rehire spend and service response reports. • Support weekly operational reporting and fleet KPI tracking. • Ensure compliance with health & safety and all relevant protocols for hired assets. Required Skills: • Logistics, rental or service coordination experience. • Knowledge of material handling equipment (forklifts, sweepers, mobile plants, cranes). • Strong organisational, planning and multitasking abilities. • Excellent written and verbal communication. • Proficiency in Microsoft Office (Excel, Word, Outlook). • Experience with rental or CRM software. • Transport coordination and fleet scheduling knowledge. Required Education & Certifications: • High school diploma or equivalent (minimum). • Relevant certifications in logistics, fleet management or equipment handling preferred.
