About the Opportunity
As an Event Coordinator, you will support the planning, organization, and execution of event logistics in collaboration with the Event Manager and experience team. You will manage documentation, track project milestones, and coordinate communications across event teams. Your role involves participating in program meetings, supporting vendor coordination, and contributing to the development of program materials. You will provide proactive recommendations, maintain clear records, and uphold high standards of professionalism. By embracing Wynford's "Be the Participant" philosophy, you will help create memorable moments and ensure participant needs are met with excellence.
What You Bring:
A minimum of 1 year incentive travel program and/or events experience, preferably within a third-party supplier environment
A minimum of 2 years of customer service experience.
A minimum of 2 years administrative experience.
Post-secondary education in business, event management or another relevant field
Google Suite, Microsoft Office, Cvent (Sourcing) experience
Strong communication skills (verbal, written and listening skills)
French speaking an asset
Strong interpersonal skills; effectively can handle situations of conflict with tact and diplomacy
Ability to build strong working relationships quickly, and maintain them
Excellent time management and project management skills
Strong attention to detail
What You'll Do:
Administrative & Project Support
Assist the Event Manager and event team in planning, organizing, and executing event logistics.
Manage documentation, track project milestones, and maintain timelines using correct SOPs and templates.
Support logistical tasks such as shipping, financial administration, and scheduling.
Program Execution & Collaboration
Collaborate with cross-functional teams to ensure deliverables are met.
Contribute to the development and execution of program materials.
Support vendor coordination, contract management, and service delivery.
Communication & Transparency
Keep clients and internal teams informed of changes to program timelines.
Communicate updates promptly and professionally.
Maintain clear records of decisions, approvals, and project communications.
Professionalism & Leadership
Demonstrate a proactive, solution-oriented approach in all interactions.
Uphold high standards of professionalism and accountability.
Foster a collaborative and respectful team environment.
Participant Experience
Embrace the full lifecycle of each event, from planning to post-event wrap-up, embodying Wynford's "Be the Participant" philosophy.
Support in creating memorable moments at every touchpoint of the participant journey, through to execution.
