Job Specifications

As the HRIS/Administrator, you will provide a high level of pro-active general administration support, system management and project coordination to the Director, HR Managers and Team members within HR. A key part of this role is to ensure that all processes and procedures within the HR Team are adhered to and regularly reviewed to ensure suitability and compatibility with Company guidelines.

HR Team Support

Be the key internal point of contact for the HR team with all other support & operational functions within the Company.
Responsible for the clear and timely communication of any key messages within the Department including summary presentations on topics relevant to the HR Function, as required.
Support the Director and other department managers with presentations and collateral in preparation for relevant meetings.
Arrange Weekly/Monthly HR meetings, including the preparation of agendas, gathering of materials, appropriate presentation formats, the taking and distribution of minutes and subsequent completion of agreed actions

Data & System Management

Maintain an effective filing, archiving and information system for the HR team
Take responsibility for ensuring that the HR pages of PPN (Intranet) are up to date and relevant in their content.
Ensure all Personnel files are permanently kept up-to-date, including the relevant forms for the New Starter & Leaver Processes
On monthly basis, update the organisation charts for PCGB & PRG.
Support with the set up and management of the Learning Management System, running reports for overall business on completion
Responsible for the HR-related management of the Purchase Order System (PO's) raising all necessary paperwork and following through to completion and Invoice on the Concur System.
Ownership and Management of the VW Vehicle Tracking/Order System (Fleet track)

Requirements

Minimum Qualifications:

Previous experience in a HR Admin role or studying a HR Qualification.
Previous experience managing HR Systems - troubleshooting any minor issues and updated information
Strong background in creating presentations and supporting Executive level projects
Ability to contribute fully within the team, ensuring that the right environment is maintained
Ability to adhere to company policies and procedures at all times

Preferred Qualifications:

Knowledge of ADP, Successfactors or Access LMS
